Pole Party Terms of Booking
Please be advised that booking a Pole Party with Fancy Footwork Equestrian implies your acknowledgment and acceptance of the terms below.
SECTION 1
Rider & Horse Eligibility
Rider Ability
All riders attending a Pole Party must be in full control of the horse they are riding in a group environment in walk, trot and canter. There is no obligation to canter during sessions, however riders must be capable of cantering should an unexpected situation arise.
Age of Riders
Riders aged 12 and above are welcome to attend Pole Parties. Younger riders may be accepted at the discretion of Fancy Footwork Equestrian following prior discussion.
Horse Age & Experience
Horses must be a minimum of 4 years old to attend a Pole Party. If you are unsure whether your horse is suitable due to age, inexperience or behaviour, please contact Fancy Footwork Equestrian prior to booking.
Stallions
Stallions are welcome to attend Pole Parties, however the host accepts responsibility for ensuring that all other riders attending are comfortable with a stallion being present.
Horse Behaviour
Please inform the coach before the session begins if your horse requires additional space around other horses so this can be managed safely throughout the session.
SECTION 2
Safety & Equipment
Safety Equipment
All riders must wear a riding hat that complies with current safety standards at all times when mounted. Body protectors are optional.
Tack & Equipment
All horses must wear a correctly fitting saddle and bridle during ridden sessions. Bitless bridles and bareback pads are permitted. Rope halters and riding bareback are not permitted.
In Hand Work
In some cases, limited in hand work may be discussed in advance for specific horses, however Pole Parties are primarily designed as ridden sessions.
Risk & Responsibility
All riders attend Pole Parties entirely at their own risk. Fancy Footwork Equestrian accepts no responsibility for accidents, injury, theft, loss or damage to vehicles, horses or personal property.
SECTION 3
Booking & Payments
Organiser Responsibility
One designated organiser will act as the main point of contact and will be responsible for:

collecting payments

allocating rider times
-
pairing suitable riders together
-
communicating information to attendees
Payment Terms
Full payment is required within one week of confirming the booking date in order to secure the Pole Party.
Minimum Numbers
A minimum of 10 riders is required in order for a Pole Party booking to go ahead.
Travel Distance
Pole Parties are available within 75 miles of CV47 2YW. Weekday evening bookings may be available within a reduced travel radius.
Rider Cancellations
If a rider cancels their place, it is the responsibility of the organiser or rider to find a replacement. Places are non-refundable and non-transferable.
Organiser Changes
Once a Pole Party date has been agreed, it cannot normally be changed within one month of the event date.
Weather & Postponements
If weather conditions are considered unsafe due to heavy rain, snow, ice or strong winds, the Pole Party may be postponed and rearranged for the next mutually suitable date.
No refunds will be given in the event of postponement caused by weather or circumstances outside of our control.
SECTION 5
Venue Requirements
Arena Access & Setup
Access to the arena is required approximately one hour prior to the first session to allow setup, and approximately 30 minutes after the final session for takedown.
Poles & Equipment
Where possible, venues should provide approximately 10 poles positioned in an easily accessible location ready for use.
Venue Etiquette
Please ensure all horse droppings are cleared from parking and communal areas before leaving the venue.
SECTION 6
Punctuality
Session Timings
Sessions run back to back throughout the day. Riders arriving late may lose part or all of their allocated riding time.
